Custom business management software built around how you run your company
Business management software keeps the information a company runs on in one place. Macwin Software builds it to fit your business, instead of asking you to change your business to fit a package.
What business management software does
At its simplest, it replaces the patchwork of spreadsheets, notebooks and message threads a business grows into. Records are kept once, work moves through defined steps, each person sees what they should, and reports come from real data.
The value is not in having more features. It is in everyone working from the same, current information.
Parts a business management system is commonly made of
Your business may need some of these, all of them, or something quite different. We build only what you need.
Customer and contact records
Everyone you deal with, and the history of that dealing, in one place.
Orders, jobs or requests
Work is created, assigned and followed until it is finished.
Staff roles and access
Owners, managers and staff each see the screens and data that suit their role.
Tasks and status tracking
A clear view of what is pending, in progress and done.
Billing and payment records
Amounts due and received recorded alongside the work they relate to.
Reports and summaries
Totals and lists drawn from live data instead of rebuilt by hand each month.
A first version, for example
Picture a small trading business whose orders come by phone and whose payments are tracked in a notebook. This is an illustration, not a past client. A sensible first version would hold just three things: customers, orders, and payments received. From those it could answer the question the owner asks most, which is who owes how much and since when.
Staff would add orders from their phones, the owner would see the outstanding amounts, and nothing else would be built yet. Stock, invoicing or reports can follow once that part is in daily use.
Custom or off-the-shelf?
Both are legitimate choices. A fair comparison looks like this:
- Off-the-shelf software is usually quicker to start and cheaper at first. It works best when your process is close to the standard one the product assumes.
- Custom software fits your process exactly and grows only in the directions you choose. It makes the most sense when your way of working is part of what makes your business different, or when packages keep forcing workarounds.
If you already use a package that mostly works, we will say so. If it does not, we can build around the gaps. If you need a very large system across many departments, tell us the scale and we will be honest about whether we are the right team for it.
How we avoid building everything at once
- 1Start where it hurts mostStart where it hurts mostStep 1
We pick the area of the business where scattered information causes the most trouble.
- 2Build that part properlyBuild that part properlyStep 2
A small working version, used by your team on real work.
- 3Add the next partAdd the next partStep 3
Once the first part is stable we add the next, reusing the same records and logins.
- 4Keep it runningKeep it runningStep 4
We support the system after launch as your business changes.
Built for phones as well as desks
Most people who use business software are not sitting at a desk all day. We design for the phone first, so a manager can approve something between meetings and a team member can update a job from where the work is happening. The application installs to the home screen from the browser and can send push notifications. For more on that, see web application development.
Repetitive steps inside the system can be automated too. See business automation.
Frequently asked questions
Can we start with one part and add more later?
Yes. That is how we recommend doing it. The first part is built to be extended, so later parts reuse the same records and logins.
Can the system replace our spreadsheets?
That is a common goal. We bring your existing data in where we can, then retire the spreadsheet once your team trusts the new system.
How is this different from an ERP package?
ERP packages are broad products you configure. We build software shaped around your specific process and include only what you need. For very large multi-department needs, we will tell you honestly if a package is the better path.
Will my staff need a lot of training?
We keep screens simple and in plain language so there is little to learn, and we adjust them based on feedback from the people who use them.
Can different people see different information?
Yes. Role-based access controls which screens and records each person can see.
